Are you an experienced Executive Assistant who thrives in a fast-paced environment and is motivated by serving others? We're seeking a highly organized, detail-oriented Executive Assistant to provide top-level administrative support to the Executive Leadership team for a Pinellas based non-profit organization.
The Executive Assistant serves as the primary liaison between the Executive Leadership team and the Board of Directors. The ideal candidate for this role will be an exceptional communicator, builds & maintains relationships with key stakeholders, exercises discretion, and is highly attentive to managing time & deadlines to meet compliance standards.
Responsibilities include, but not limited to:
· Serve as the primary point of contact for the Executive Leadership team, managing schedules and communications.
· Prepare agendas, materials, and minutes for Board of Directors, Advisory Council, and committee meetings.
· Coordinate public notices, travel arrangements, and special projects.
· Maintain agency records in compliance with federal and state requirements.
· Supervise front desk operations and clerical staff.
· Oversee office logistics including supplies, mailings, and conference room scheduling.
· Assist with website updates and other administrative tasks as needed.
Experience & Education Requirements:
· Minimum 7 years supporting high-level executives.
· Bachelor's degree preferred.
· Advanced proficiency in Microsoft 365 (Outlook, Word, Excel, PowerPoint).
· Strong organizational skills with the ability to multitask and prioritize effectively.
· Excellent written and verbal communication skills.
· Proven ability to maintain confidentiality and handle sensitive information.
· Leadership skills to supervise clerical staff and foster effective working relationships.
· Reliable transportation for occasional travel and ability to lift up to 10 lbs.
Hours: 8:30am to 5pm, Monday to Friday
Location: St. Petersburg, FL 33702 (Onsite only)
